Student Workday Journeys
Journeys is a new tool in Workday to help you accomplish important tasks by walking you through the necessary steps. A Journey contains all the links and resources you need to complete a task or accomplish a goal. Journeys are distributed to specific student audiences to assist with various College tasks in and out of Workday. A Workday notification will also alert you when you've been assigned a Workday Journey. To Open on Desktop 1. Look under Awaiting Your Action on the Workday homepage. 2. Click on the name of the Journey you want to view. To Open on Mobile 1. Look under Timely Suggestions on your mobile homepage. 2. Click Open Journey under the name of the Journey you'd like to view. Completing a Journey 1. If you're starting a new Journey, click the blue button that says Start Here. 2. If you're picking up where you left off, click the blue button that says Continue. 3. Each step provides guidance, and the Journey tracks your completion. 4. Read each step and take the action requested (e.g. open external link, view video, read document, tasks). Due dates will tell you when to complete each required step. 5. When you've finished all the required steps, you can close this Journey or explore the extra recommended steps. The Journey will move from your active to your completed Journeys. Easy Access to Your Journeys To view all your Journeys, including those you've already completed, type View Journeys in the Workday search bar and select the View All Journeys report. To add a Journeys link to your Workday Apps, follow these steps. 1. Open the Menu on your Workday homepage. 2. Click Add Apps at the bottom of the page. 3. Type Journeys into the search box. 4. Select the plus sign next to Journeys to add it to your Apps list. This will also be updated on Mobile.

View Student Financial Account Activity
Follow the steps below to view your Financial Account Activity in Workday. To see your Student Account Activity using the Workday mobile app, click View Account Activity under Finances on the Finances dashboard. 1. From your Workday homepage, access the Finances app by clicking Finances under Your Top Apps or from the Menu button. 2. To see a breakdown of your transactions in order by date, click on View Account Activity under My Account. This will take you to the View Account Activity page, which has two tabs - Transaction Summary and Due Now Details. Transaction Summary shows the details of each transaction in order by date. Due Now Details shows the sum of fees that are due, along with anticipated financial aid or refunds. You can also view and print an account statement for any academic period by clicking the box View Statement. View the article Understanding Your Financial Statement for more information. 3. In the Due Now Details tab, you can get more information by clicking any of the amounts written in blue. A pop-up box will appear with a breakdown of each charge or payment. The example below is a breakdown of Past Due Charges. Registration Basics
Below are helpful tips for before, during, and after registration using Workday, your student portal. 1. Review your Academic Progress to determine which courses you need to satisfy in your current program of study. 2. Use one of the methods below to register. Note: If you are a Dual Enrollment student, you have different directions for registration than traditional students. Meet with your high school counselor and follow the registration steps on our Dual Enrollment website. If you're a Charter Academy student, contact the Charter Academy at 850-484-2366 or charteracademy@pensacolastate.edu. In Workday, you can register in several ways. The recommended method is to use the Find Course Sections and Register report. If you don’t have an Academic Plan or Pre-Registration Plan or prefer searching and registering by the course name or number, type Find Course Sections in the Workday search bar. This search works on a desktop computer or Workday mobile. There are other methods for students to register, depending on their situation. See the table below for requirements and pros and cons for each method. Click on the links in the Register from column to go to the article describing that type of registration. Register from When to Use Pros Cons Your Academic Plan on Desktop Use this method when you have an updated Academic Plan in Workday for the current Academic year and want to follow it closely. Works directly from your Academic Plan and allows students to register quickly. Academic Plan must be up to date and correct. You can't register this way via mobile. Pre-Registration Plan on Desktop If you have a Pre-Registration Plan set up in Workday. Allows students to plan ahead and register quickly. This self-service tool is also available on mobile. Pre-Registration Plan and Academic Plan must be created and updated. Alternative Registration Method via Mobile Use this method if you have the Workday app set up on your mobile device and don't want to use the other mobile options previously mentioned. Convenient for mobile users. You can only register for one course at a time. 3. Look for confirmation of your class schedule in Workday via View My Courses after registering. To apply changes to your registration, see the Drop, Swap, and Withdraw from Courses article. 4. To make any changes to your schedule, see the Academic Calendar to confirm you are within the acceptable times to make schedule changes without penalty to your student record or financial aid. 5. Log into Canvas to review the requirements, textbooks, materials, and syllabi for each of your classes to ensure you are ready for the first day of class. 6. Attend the first week of class to avoid being dropped for non-attendance. Register for Classes from Your Academic Plan
1. From the Workday homepage, open the Academics app. 2. Click View My Academic Plan under Academic Advising. 3. Click Register from Plan. If you don’t see the Register from Plan button, you may have holds on your account, or your Academic Plan may not be up-to-date. For information on holds, view the article Student Action Items and Holds. If you don't have a current academic plan, view the article Academic Plan or contact your advisor. 4. On the Register from Academic Plan page, review the course(s) on the left. 5. To remove courses, click on the minus or the trash can. 6. To add courses, click on Add Course and search for the course you want by keyword, course name, or course number. 7. When you have the list of classes you want, click on each course and choose a section. 8. When you're finished adding all course sections, click the Register button. Workday may show some Alerts or Errors when you try to register. Alerts are warnings only; errors must be corrected. Read the error information and make the changes necessary to register. 9. From the Successful Registrations page, you can view your registered courses or your student account, which will include your new classes. Find Course Sections and Register
Before registering for courses in Workday, review your Academic Progress to determine which courses you need to satisfy in your current program of study. 1. From the Workday homepage, open the Academics app. 2. Select Find Course Sections and Register under Planning & Registration. 3. In the Find Course Sections pop-up box, fill in the information as shown below. 4. Click OK. 5. On the next page, you can search for courses by the course name, number, or keyword; and filter by subject, section status, location, and other criteria along the left side of the page. 6. Select a Course Section you want to register for. You can use the back button to move from course details back to your results list. To register for a course, look at the bottom of the View Course Section page for your options. A Start Registration button will appear if you can register. A Troubleshoot button will appear if you can’t register. Click on Troubleshoot to view course restrictions that might keep you from registering. The Add to Pre-Registration Plan button will allow you to add the selected course to a sample schedule to use for future registration. 7. Click Start Registration. In the upper left of the screen, you will see a list of your selected course sections so far. You can add or delete courses until the list is what you want. 8. Once you have finished adding all your courses, click Register. If your schedule does not meet all requirements, you might see error messages during your registration process. You can add to or change your registration at any time during the drop/add period. Register from Find Courses on Mobile You can register similarly on the mobile app but with slight variations. The steps below could appear slightly different depending on the type of device and software you’re using. 1. Open the Academic app on the Workday mobile homepage. 2. Select Courses & Pre-Registration Plans. 3. Select Find Courses. On the Results page, you can search for courses by the course name, number, or keyword using the magnifying glass. You can filter your results by subject, section status, location, and other criteria using the filter symbol, selecting your filtering criteria, and then clicking the arrow at the top left of the screen to see your filtered results. 4. Click on the course section you want to register for. 5. Click on the Register button at the bottom of the screen. If there is no Register button, you can't register for the class. Contact your advisor if you have questions. 6. Below the asterisk, click on the hamburger icon and select the course section you want to register for and click the right arrow (or Next on iPhone) at the top. 7. Verify that your selection is what you want (i.e., meeting times, meeting format), then click the blue check mark or Done at the top of the screen. Alternative Registration Method via Mobile
If you have the Workday app on your mobile device, you can register on the mobile app, but only one course at a time, or use Register for Classes from Find Course Sections or the Pre-Registration plan methods. The steps below could appear slightly different depending on the type of device and software you’re using. 1. From the Workday mobile homepage, open the Academics app. 2. Select Courses & Pre-Registration Plans. 3. Select Registered Courses. 4. To select the Academic Period, click on the dropdown arrow and select the session you want to register for. 5. Click the blue check mark or Done, depending on your device. You will see a list of courses you are already registered for. Click on the course name to see course details and available actions, such as Drop (if it’s during a drop/add period). 6. Select Register New Course or +Add New at the top of the page (depending on the device used) to see a list of courses you may be eligible to register for. 7. Search by the course name, course number, or keyword for the course you want to register for. Select the filter icon to filter your search, as shown below. 8. Select the course you want to register for. 9. If the View Course screen has a Register box at the bottom, click Register to begin your registration for that class. If it doesn’t say Register, choose another course. Contact your advisor if you have trouble with your registration. (iPhone users skip to step # 13.) 10. Select the Academic Period you’re registering for by clicking on the hamburger icon below Academic Period. (Android only.) 11. On the next screen, select the Academic Period you want from the list of options provided. (Android only.) 12. Once the Academic Period populates, click on the arrow in the upper right of the screen to select your course section. (Android only.) 13. Click on the hamburger icon below the asterisk and select the course section you want to register for. 14. Click the arrow or Next in the upper right of the screen. 15. Verify your course details, then click the check mark or Done to complete your registration for this course. 16. To register for more courses, click the back arrow in your app multiple times to return to the Register New Course or +Add New option and repeat steps # 2-14 for each course. Register for Classes from Your Pre-Registration Plan
Once your advisor creates your Academic Plan, you can create a Pre-Registration Plan based on it. A Pre-Registration Plan does not register you for classes. It is an advisory tool to organize your courses before you register. You can use it to register more quickly, but it is only a planning tool. For more information, see the Pre-Registration Plans article. 1. From the Workday desktop homepage, open the Academics app. 2. Click View My Pre-registration Plans under Academic Advising. You may have to click More to see the full list of options. On the View My Pre-Registration Plans page, you can register, add course sections, and edit or delete any of the plans you created. See the Pre-Registration Plans article for more information on editing your plan. 3. To register from a plan, select the tab Upcoming Pre-Registration Plans. The View My Pre-Registration Plans page will show a list of all your plans for the academic term you selected. Click on Register next to the plan you want to register for. 4. Add or remove courses until you have the list you want to register for. 5. Click Save at the bottom of the page. 6. Click Register. 7. Select the section you want for each class, following the tips in the screenshot below. 8. When you're finished selecting your course sections, click the Register button at the bottom of the page. You should see the Successful Registrations page with a list of all the courses you have just registered for. If you registered for any other courses prior to this session, they will not show up here. To see all your courses for the academic period, click on the View Registered Courses button. Register from Your Pre-Registration Plan on Mobile You can also use the Pre-Registration Plan to register on the mobile app, once you have the plan saved on Workday desktop. The steps below could appear slightly different depending on the type of device and software you’re using. 1. From the Workday mobile homepage, open the Academics app. 2. Select Courses & Pre-Registration Plans. 3. Select Pre-Registration Plans. 4. To select the Academic Period, click on the hamburger icon, select All, and select the session you want to register for. 5. Click the blue check mark or Done, depending on your device. 6. Under Pre-Registration Plans at the bottom of the screen, select the plan you want to register from. On iPhone, type in the academic period and click done to see your plan(s). 7. If the courses listed are the ones you want to register for, select the Start Registration box. 8. Click the blue arrow or Done in the top right corner to complete your registration. The next page will list your successfully registered courses. You can view your course schedule using the button at the bottom. Pre-Registration Plans
Workday Terminology Academic Period or Term - Class start dates and end dates may be standard length (4 months) or shorter sessions within the standard session. Session - Multiple time periods within a standard term, each with its own group of courses available for registration and grading. Session A - The session taking up the entire full or standard academic term (view 2024-25 Academic Calendar). Session B, C, and D - Sessions taking up less than the entire full or standard academic term (view 2024-25 Academic Calendar). Academic Plan - Created by an advisor to show the courses a student will need to complete their program of study. Once your advisor creates your Academic Plan, you can create a Pre-Registration Plan based on it. A Pre-Registration Plan does not register you for classes. It is an advisory tool to organize your courses before you register. You can use it to register more quickly, but it is only a planning tool. You can create or view your Pre-Registration Plan in two ways. 1. From the Academics App on the Workday homepage, select Create or View My Pre-Registration Plan under Academic Advising. If you don’t see the Pre-Registration Plans or Register from Plan buttons, you may have holds on your account, or your Academic Plan may not be up-to-date. For information on holds, view the article Student Action Items and Holds. If you don't have a current academic plan, view the article Academic Plan or contact your advisor. 2. From the Student Profile Academics Tab, open the Plan tab. Create a Pre-Registration Plan from Your Academic Plan You can create a Pre-Registration Plan for a specific term from your Academic Plan, including one or more sessions within the term (e.g. Spring 2025A, Spring 2025B). A Pre-Registration Plan can help you plan your course schedule before registering. When you create a Pre-Registration Plan, you can only keep or remove courses that came from your Academic Plan. To add courses to your Pre-Registration Plan, follow the instructions under View Your Pre-Registration Plan below. 1. Click Create Pre-Registration Plan from Plan. 2. Choose your Academic Plan name and an academic term from the Start Date within field, as shown in the screenshot below. If you want to create a Pre-Registration Plan that includes multiple sessions within the standard term (e.g. Spring 2025 A and B), you must have all those sections listed on your Academic Plan. Check with your advisor if you need to add sessions to the term. If you have all the sessions you want to register for in your Academic Plan, then select the main term (Spring 2025A) in the Start Date within field. 3. Click OK. 4. Type a name for your Pre-Registration Plan in the box. 5. Review the course(s) from your Academic Plan on the left of the page. 6. Click on the minus or the trash can to remove a course. 7. When you have the list of classes you want, click on each course and choose a section. 8. Click OK to save your Pre-Registration plan. Remember, to add courses to your Pre-Registration Plan, follow the instructions under View Your Pre-Registration Plan below. Remember, clicking OK here does NOT register you for classes. View Your Pre-Registration Plan From your Academic Plan, you can view and edit the Pre-Registration Plans you've created previously. 1. Click View Pre-Registration Plans. 2. Select the tab Upcoming Pre-Registration Plans. The View My Pre-Registration Plans page will show a list of all your plans for the academic term you selected. See the screenshot below for actions you can take. 3. Select one of the buttons in the screenshot above to take that action. For more information on registering, see the article Register for Classes from Your Pre-Registration Plan. Select Remove to delete this Pre-Registration Plan. Select Edit to change the sections on chosen courses or remove courses from your plan, then Save. Select Add Course Sections to see all the course sections available to you for the academic term. Search for courses by the course name, number, or keyword, and filter by subject, section status, location, and other criteria along the left side of the page. Check the box next to the course section(s) you want to register for (you can select multiple courses at the same time), and click Add Sections at the bottom of the page. Select the course section you want and click OK to add it to your Pre-Registration Plan. Student ID Location and Changes
Student ID Location If you forget your student ID pickup location, follow these steps to view your request details. 1. In Workday desktop or mobile, open My Tasks. 2. On the desktop, click on Archive. On mobile, click on the My Tasks dropdown and select Completed Tasks. Desktop Mobile If you have many messages, type ID in the Archive/Completed Tasks search box to filter the list. 3. Scroll down to find the message regarding your ID. 4. Click on the message and scroll down to see the information you entered in your request. Student ID Changes If you have already requested a Student ID card in Workday and requested pickup, you can change your request from pickup to mail delivery by following the steps below. 1. In Workday, click on your profile photo, then click View Profile. 2. Select Personal on the blue sidebar. 3. Under IDs, upload a valid government-issued ID by clicking Edit, then Change My Government IDs. 4. In the Comment section, state that you want your student ID card mailed instead. Mailed Student ID cards can take 3-5 business days to be received. Selecting Submit, Save for Later, or Cancel on a Workday Request
When filling out Requests in Workday, sometimes you will have the option to select Submit, Save for Later, or Cancel at the bottom. The purpose and subsequent actions of each choice are explained below, both for Workday desktop and mobile. Submit If you fill out a Request completely and are ready to send it, click Submit. If the Request is not completed correctly, error messages may appear to show you what requires correcting. Save for Later If you fill out a Request partially or fully and want to complete it later, choose Save for Later. A reminder will appear in My Tasks with a link so you can return to the task with your information intact. If you choose not to complete the task, you can click on the gear icon in the My Tasks message window (or More… on mobile) and select Delete Incomplete. Make sure to select Done or the checkmark to confirm deletion of the message and the Request information. (Different versions of Workday may have slightly different options for confirmation.) Desktop Mobile Cancel If you don't enter any information in the Request, you can close it or select Cancel and it will simply close. If you fill out a Request partially or completely and choose Cancel, a box will appear asking if you wish to discard or continue.
