Drop, Swap, and Withdraw from Courses

Students can add and drop courses without impacting their records during open enrollment or registration appointments. Each Academic Period has a window for schedule adjustments. Once that window closes, students may drop a course before the last day to withdraw and accept a withdrawal grade. Please see the Academic & Registration Calendar for the Academic Period dates.


Follow the steps below, on either Workday desktop or mobile, to drop, swap, or withdraw from your course(s) during permitted times. The mobile app will only allow you to drop courses, not withdraw or swap them.


Drop, Swap, and Withdraw on Desktop


1. Open the Academics app.        

2. Select View My Courses.


3. Review enrolled courses.

    • Review the Meeting Patterns to see the campus/location for each course section.
    • Pay attention to your load status. Dropping below full-time status may have severe implications for multiple critical areas.
    • To adjust, click the Actions button and select Drop, Swap, or Withdraw during the add/drop window.



Drop


1. On the View My Courses screen, select Actions, followed by Drop. This button will only appear during the drop period.

2. Select Confirm. 

3. Click OK. 

4. Select Done.


Swap


1. On the View My Courses screen, select Actions, followed by Swap. This button will only appear during the swap period.

2. Click New Course or New Section. 

3. Use the drop-down menu to search for the new course or new section to swap to. 

4. Click OK.

5. Select the course or course section you want to take. If you're swapping courses, click Confirm Swap.

6. Click OK.

7. Review the Swap Student Course Registration screen. 


Withdraw


To determine the last class withdrawal date, visit the Academic & Registration Calendar. Financial Aid recipients should discuss their intended withdrawals with a representative in the Financial Aid Office at 850-484-1680 or fava@pensacolastate.edu. Veteran benefit students should discuss their intended withdrawals with a member of the Veteran Services Office at 850-484-1670 or veterans@pensacolastate.edu


1. On the View My Courses screen, select Actions, followed by Withdraw. This button will only appear during the withdrawal period.

2. Select Confirm Withdraw from Course, and read the Alert. 

3. If you would still like to withdraw, click OK.



Depending on your student status, your withdrawal request may be automatically forwarded to your advisor for approval. Once your advisor approves your withdrawal, you will receive a notice in your Workday Inbox asking you to complete a questionnaire explaining why you wish to withdraw from the course. 


4. Complete the Questionnaire and click Submit.


Your course will then be removed from your schedule and appear under My Dropped/Withdrawn Courses in View My Courses.


My Dropped/Withdrawn Courses 


1. Open the Academics app.      

2. Select View My Courses.


The My Dropped/Withdrawn Courses tab will appear under the academic period, which can be expanded or collapsed for more details. This section will not populate if no classes have been dropped or withdrawn.



Drop Courses on Mobile


On the Workday mobile app, you can only drop courses, not swap or withdraw. You can only drop courses during the scheduled drop/add period

To drop a course on the mobile app, follow these steps. These steps and screenshots could appear slightly different depending on the type of device and software you’re using.


1. On the home screen, select the Academic app.

2. Select Courses & Pre-Registration Plans.

3. Select Registered Courses.


              


4. Click on the arrow next to the course you want to drop from your schedule. iPhone users may need to select the Academic Period first.

5. Select the Drop button.

6. Select the Confirm Drop button to finish dropping the course.


              


The last screen will confirm your dropped course.
