Student Scholarships and Grants
PSC offers over 300 need-based, academic merit-based, and program-specific scholarships and grants for eligible students. Scholarships and grants do not need to be repaid and may be used for tuition, fees, books, and class materials, depending on what the scholarship allows. Loans and other types of financial aid information can be found in the related articles at the bottom of this article. To Apply Apply for scholarships through the PSC Scholarship Portal, on the PSC Financial Aid webpage, and in the Workday Finances App under Financial Aid Links. Students only need to submit one PSC Scholarship Application each academic year to be considered. We strongly recommend that you complete the FAFSA along with the PSC Scholarship Application, which will allow you to be considered for financial need-based scholarships. Scholarships may be awarded for one term or more. After You Apply After you apply, you can return to the PSC Scholarship Portal at any time to review your submitted applications, apply for specialized scholarships, and view any scholarships awarded to you. You will be notified through your PirateMail account when award information has been posted. You will get an email from NextGen, PSC's scholarship manager, notifying you of the award and asking you to log in to the Scholarship Portal to accept it. At that time, you may be instructed to send a thank-you letter to the donor of the scholarship. The day after you accept the award, it will appear in Workday. Follow these steps in Workday to view your awards and adjusted cost estimates. 1. Open the Finances app from the Workday home page or menu. 2. Select View Financial Aid. 3. Choose the Award Year - the school year when the financial aid is used. You may have only one option to choose from. 4. Click OK at the bottom of the screen. If you were awarded grants and/or scholarships and accepted them in the Scholarship Portal, your status in Workday will display as accepted. Changing or resetting the accepted status in Workday may slow down your access to the aid. View the PSC financial aid webpage for Financial Aid disbursement, refund dates, and related information. At the top of the screen, you can see a summary estimate of your financial aid and costs. Below the summary is a table with your financial aid breakdown in one tab and your estimated cost breakdown in the other tab. You may also print your Financial Aid Award Letter. View the article Understanding Your Financial Statement to view your financial statement and understand how it reflects your scholarship or grant. Maintain Your Award Eligibility To maintain eligibility for renewable scholarships, review all the requirements of your scholarships, which may include GPA, academic load, taking classes within your program of study, academic major, financial status, and citizenship. Pay special attention to your academic load, which is the number of credit hours you are taking. Full-time or part-time load status can be part of a scholarship's requirements. If your load status changes, your scholarship eligibility may also change. The levels of academic load status for financial aid purposes are: Full-time load = you are currently enrolled in a minimum of 12 hours 3/4-time load = you are currently enrolled in a minimum of 9 hours 1/2-time = you are currently enrolled in a minimum of 6 hours Less than 1/2-time = you are currently enrolled in a minimum of 1 hour To view your academic load status, go to the Academics App and click on View My Courses under Planning & Registration. Your load status will be at the bottom of the screen. Please continue to monitor your scholarship portal, student email, and Workday My Tasks for possible award notifications. FERPA/Student Privacy and Release of Information
Overview of FERPA The Family Educational Rights and Privacy Act (FERPA) is a federal law protecting the privacy of student education records. The law applies to all schools that receive funds under an applicable program of the U.S. Department of Education. For more information, go to the FERPA website. FERPA gives parents certain rights concerning their children's education records. These rights transfer to the student when they reach the age of 18 or attend a school beyond the high school level. Students to whom the rights have transferred are "eligible students." Parents or eligible students have the right to inspect and review the student's education records maintained by the school. Parents or eligible students have the right to request that a school correct records they believe to be inaccurate or misleading. Generally, schools must have written permission from the parent or eligible student to release any information from a student's education record. However, FERPA allows schools to disclose those records, without consent, to the following parties or under the following conditions: School officials with legitimate educational interests, Other schools to which a student is transferring, Specified officials for audit or evaluation purposes, Appropriate parties in connection with financial aid to a student, Organizations conducting certain studies for or on behalf of the school, Accrediting organizations, To comply with a judicial order or lawfully issued subpoena, Appropriate officials in cases of health and safety emergencies, State and local authorities within a juvenile justice system, under specific state law Schools may disclose, without consent, "directory" information such as a student's name, address, telephone number, date and place of birth, honors and awards, and dates of attendance. However, schools must tell parents and eligible students about directory information and allow parents and eligible students a reasonable amount of time to request that the school not disclose directory information about them. Schools must notify parents and eligible students annually of their rights under FERPA. See PSC's annual FERPA statement. Release of Financial Aid, Veteran, and Student Record Information The disclosure of student information is governed by the policies of the PSC Board of Trustees and the Florida Department of Education (FLDOE), with the parameters established by state and federal laws, including FERPA. If you would like your parent/guardian to have access to your school records, you must fill out the Student FERPA Release Form. You only need to fill this out once during your time at PSC. To access your school records, your parent/guardian can complete a Parent/Guardian FERPA Release Form if they claim you as a dependent on their taxes and provide appropriate documentation. Your parent/guardian is required to fill this out only once during your time at PSC. Written student consent is required to disclose any information that is part of the student's financial aid or veteran record. To release this information to any person or organization, you must complete and sign the Release of Financial Aid or Veteran Information Authorization Form. This form is only valid for the academic year in which the release is requested. The PSC Financial Aid/Veteran Services office will mail the requested information to the named individual or agency within 5-7 working days of receipt during non-registration periods. For more resources on financial aid and veteran services at PSC, go to the Financial Aid Resources website or call 850-484-1680. Academic Plan
An Academic Plan may cover several academic periods and specifies the courses recommended to complete your program of study. The benefit of an Academic Plan is it encourages collaboration between students and advisors, tailors student schedules each academic period and makes it easy for students to register. If you do not have an Academic Plan by following the steps below, contact your advisor. Once your advisor creates your Academic Plan, you can update or create alternate plans. An Academic Plan does not register you for classes. It is an advisory tool to organize your courses before you register. You can use it to register more quickly, but it is only a planning tool. You can access the Academic Plan in two ways: Select View My Academic Plan under Academic Advising from the Academics App on the Workday homepage. From the Student Profile Academics Tab, open the Plan tab. You can view or update your Academic Plan, create an Alternate Plan, or create a Pre-Registration Plan for a specific term to plan your course schedule before registering. If a Create or Update Academic Plan button does not display, it could be caused by restrictions or holds on your account. Check your My Tasks folder for hold notices, or contact your advisor for help. How to Edit Your Academic Plan 1. Select Update Plan or Create Alternate Plan. 2. Use the Add Period or Remove Period buttons to add or remove a whole term in your plan. 3. Use the plus and minus signs to add or remove Academic Requirements you want to satisfy in that academic period. 4. Next to an Academic Requirement, in the Course column, click in the box and select the course you want to take to fill that requirement. 5. Click OK to update. Only Academic Requirements from your declared program(s) of study will be available to select. You can select one program (e.g., A.A. degree) and see only those required courses or select All Requirements to access courses from all your programs. To explore new programs of study, view the article Evaluate Student Academic Requirements or contact your advisor. The Academic Plan may not be completely accurate and is only a planning tool. With the Academic Plan, you can create a plan for all the courses you want to take to meet your program requirements. You can update it whenever you wish and use it to register quickly by selecting the orange Register from Plan button on the main Academic Plan page. Your advisor can view it and give you feedback. It should update automatically with the status of all your courses and only give you options for courses that meet your requirements. View the Academics Tab in Student Profile
The Academics tab of your Student Profile displays your academic data, with tabs at the top of the screen including: Overview, Current Classes, Plan, Academic History, Completed Programs (if applicable), Transfer Credit (if applicable), Academic Progress, and External Records. Some of these tabs may not be visible if there is no data for that topic. To access the Academics Tab of your Student Profile, follow these steps. This function is not available on mobile. 1. Click on your profile picture in the upper right corner of the page. 2. Select View Profile. 3. Select Academics from the menu. This will open the Academics Overview screen. The information in the Profile Academics tab may be different than the Academics app on the Workday menu. Overview Tab The Overview tab displays the names, dates, and status of your program(s) of study. From this page, you can: Request a change in your program of study using the Request buttons on the right of the table. Add a program of study. Add an advisory program to an A.A. program. Current Classes Tab This tab will display your currently enrolled courses, with columns listing details about each class: Course Listing, Credit Hours, Grading Basis, Section, Instructional Format, Delivery Mode, Meeting Patterns, Registration Status, Instructor, Start Date, and End Date. At the far right of the table, you may see options to Drop or Swap courses if you're within the open registration or drop/add windows. To learn more about dropping or adding courses, view the Workday Help article Drop, Swap, and Withdraw from Courses. You may have to scroll to the right to see all the columns. The Calendar View button gives a blocked time view of your schedule. Below the table are your total enrolled credit hours and your load status. Plan Tab You should work with your advisor to create an Academic Plan, which your advisor must approve. View the Find Your Advisor in Workday article to learn how to contact your advisor. On the Plan tab, you can: View your Academic Plan. Request changes to your plan and approval by your advisor. Create or view a pre-Registration Plan. Your Academic Plan recommends required and elective courses to complete your program of study. A Pre-Registration Plan lets you create and save a trial schedule for a future academic period. You can register for classes quickly and easily using the links in your Pre-Registration Plan or your Academic Plan. An Academic Plan or Pre-Registration Plan does not register you for classes. They are both advisory tools to organize your courses before you register. You can use either one to register more quickly, but they are only planning tools. Academic History Tab The Academic History tab displays all the courses you’ve taken, organized by Program of Study, then by Academic Period. For each course, it shows your grade, credit hours earned, and grade points earned. Cumulative totals of your GPA and credit hours, class standing, and awards are shown below the table. Earned Credentials Tab If you’ve completed any programs at PSC, they will be listed here. Otherwise, this tab will not be visible. Transfer Credit Tab If you’ve transferred course credits from other institutions and PSC has accepted them for credit, you'll see a table with your transfer credit information, including courses, grades, credit hours, and the source and name of the original coursework. Otherwise, this tab will not be visible. Academic Progress Tab This tab displays the status of the courses you need to take for your program of study, broken down by Requirement, Status, Remaining, Registrations Used, Academic Period, Credit Hours, and Grade. It shows the number of credit hours and classes you've taken or still need to take for each program. A graph at the top shows a summary of each program’s progress, and detailed course information is at the bottom. External Records Tab Any transcripts and test scores you submitted to the College will be displayed here. Student Work-Study Jobs
The College Work-Study (CWS) Program can offer part-time employment to eligible students in financial need. CWS is your ticket to part-time work that fits into your busy student life. If interested, talk to Financial Aid and fill out the FAFSA. If you qualify, you can apply for work-study jobs on campus. For more on CWS, download the 2023-2024 College Work-Study Handbook. Apply for CWS Complete an error-free Free Application for Federal Student Aid (FASFA). Email the Work-Study Office at workstudy@pensacolastate.edu or call 850-484-1680 to let them know you're interested. Have at least a 2.0 cumulative GPA. Maintain Financial Aid Satisfactory Academic Progress (SAP). Must be enrolled half-time in a Pell-approved program of study - 6 credit hours for an A.S. or B.S. program or 180 clock hours for approved certificate programs. CWS Benefits You can work on campus. You will make minimum wage. Work is arranged around your class schedule. You're paid bi-weekly. Important CWS Considerations Your work hours per week are determined after your work-study award amount is calculated. CWS funds don't defer tuition and fees, so pay your PSC charges on time. Student work-study award amount and/or allowable hours to work per week can change during the term due to changes in the total amount of financial assistance, federal Work-Study policy, or student eligibility. Both the student and hiring department are notified via email when this occurs. If You're Approved for CWS After you complete your FAFSA and have notified Financial Aid of your interest in Work Study, you'll be notified in your College email if you're eligible for Work Study. The Work-Study Office sends the names of eligible students around to College Departments that are looking for work-study students. Departments contact students they're interested in, then interview and select students to hire. If a department hires you, they'll notify the Work-Study Office and ask Human Resources to send you an onboarding packet. Human Resources will send the onboarding packet to your College email and assign you onboarding action items in Workday. You will get two emails after finishing the packet: one with your username for Workday and one with a link and temporary password to Workday. You must take your driver’s license or valid, state-issued identity card and your Social Security card to Human Resources in Building 7 on the Pensacola campus. How to Set Up Your Workday Profile as a Student and Employee Once you have a work-study job, your login and primary email address will change from @students.pensacolastate.edu to @pensacolastate.edu. Your @students.pensacolastate.edu will be your secondary email address, and you will receive an email sent to either address in your Outlook Inbox. You will receive an email to your personal (not College) email address when your account is converted to an employee account. To find out how your Workday profile changes as a student employee, read Default Profile View - Student and Employee Accounts.
